Requests for Student Information

TRU regularly receives requests for information about students. These requests are made by students themselves, or others acting on their behalf (a third party).

NOTE: All requests for student information made by a third party must include a completed TRU Consent to Release Personal Information Form. Be sure to include a time frame and if possible, identify where (which departments) the records you are seeking might be located. TRU does not accept form letter consent forms from third parties.

 There are three types of requests for student information:

  1. Routinely Available Student Information

    These are requests for educational and/or academic information that includes:

    • Transcripts
    • Admissions records/information
    • Other student admissions file information (i.e. TRU application, registration data forms, course withdrawal forms, TRU acceptance letters)
    • Summary of the student’s financial information (tuition details, awards, bursaries, scholarships, grants).

    These requests should be directed to:

  2. Medical Records held in the TRU Medical Clinic

    These requests should be directed to:

  3. Formal Freedom of Information (FOI) Application – includes all other requests for student information.

    All other requests for student information made by third parties must be submitted as a formal FOI application under the BC Freedom of Information and Protection of Privacy Act.    In your application, be specific - know what you need, why you need it and only ask for what you actually need. Provide a time frame and if possible, identify where (which departments) the records you are seeking might be located.  This will reduce time and fees (if applicable) in responding to your application.  We will not accept applications that are broadly worded (for example, provide me with all records relating to student XX, or all information in student XX's file).

    Students may also make a request for information about themselves under the BC Freedom of Information and Protection of Privacy Act.
